The relationship, explained

An embedded creative team: inside your tools, not behind a ticket queue

An embedded creative team works where your team works: your Slack, your Asana board, your Monday standup if you want us in it. Ours puts design, web development, video and copywriting on one pool of hours at $150/hr, about $7,500/mo at the 50-hour entry level, month-to-month. You message the person doing the work and the person doing the work answers.

What “embedded” means in practice

Most outsourced creative work happens at arm’s length. You file a brief in a portal, a coordinator translates it, someone you never meet produces a draft, and the coordinator translates your feedback back. Every hop loses information. Embedded means we delete the hops.

Concretely, our clients get three things. A channel in their own Slack — or Asana, Trello, Notion, wherever the team already lives — where the actual designer and developer sit. Unlimited meetings, so a five-minute call replaces a forty-message thread when it should. And no ticketing queue: priorities change in a message, mid-month, without a change order.

The bench you’re messaging is senior: a creative director, a senior developer with 15+ years, a senior PM with 15+ years, and a senior designer with 12. We can afford to staff that way at $150/hr because AI does the production while those named senior creatives do the judgment.

The proof: retainers measured in years

Embedding is easy to promise and hard to fake for long. Our terms are month-to-month with 30-day cancellation, which means every long retainer on our ledger is a relationship the client re-chose, every month, for years.

Saviynt · 4+ years

Agency of record for 4+ years and 10,000+ served hours, across a brand evolution, a website redesign, ad campaigns, multiple event brands, and custom-developed micro-sites.

NAVIS · 3+ years

3+ years and 8,000+ hours, through a rebrand that held onto their established logo and preceded their acquisition by Revinate.

Coalesce · 3+ years

Past the three-year mark and still with us, through their $50M Series B.

Why the length matters

“Minimal direction” is what embedding buys. After enough months inside your Slack we have absorbed the brand, the product and the politics, so a two-line brief is enough. New vendors start that learning from zero on every project.

Embedded team vs your own hire, in numbers

The alternative way to get creative talent inside your tools is payroll. Here is that comparison on our published figures.

OptionAnnual costProductive utilizationDisciplines coveredTime to startCommitmentQuiet months

The savings rows compound into the figures we publish: 30–70% versus hiring a full creative team, and published client savings of $394K/yr at Coalesce, $498K/yr at Saviynt, and $291K/yr at NAVIS. Your own numbers take about a minute in the in-house cost calculator.

Where the embedded model strains

We’d rather name the limits here than discover them together in month two.

You need a body in the building.

Embedded means inside your tools, and only your tools. If the job requires someone at a desk in your office, hire in-house; that is a fair requirement we simply don’t meet.

One discipline, 40 hours a week, forever.

A single full-time product designer inside a sprint team is a seat to fill with a person. Our value is a senior bench across four disciplines, and paying for that breadth to use one slice of it is bad math.

The work is one small task.

A 50-hour monthly minimum is the wrong shape for a two-hour favor. Take the $200/hr ad-hoc rate or a fixed package from $2.5K instead, and keep the retainer for when demand is steady.

Steady, varied creative demand and a lean marketing team is the profile where this model wins. That’s who the published savings figures above belong to.

HOW IT WORKS

Fast, flexible,
full-service teams.

STEP 1

Choose how many hours you need

Plans of all sizes: part-time, full-time, startup, enterprise and in between. Retainers start at 50 hours a month — about $7,500 at our flat $150/hr — and scale up through Level 2, Level 3 and Enterprise as the workload grows.
Not sure? Happy to help. Tell us what is on this quarter's list and we will size it with you.
STEP 2

Use those hours for any of our services

Branding, design, development, video or copywriting — one team, one rate. Landing pages, logo and branding, brand guides, web design, Webflow, WordPress and HubSpot builds, slide decks, social media, ebooks, event collateral and infographics.
Big projects, quick fixes, team meetings — we're onboard and ready. Shift the mix month to month as priorities change, with no change orders and no rescoping.
STEP 3

Get brilliant work, quickly and easily

Work directly with senior talent, in real time, wherever you like to work — Slack, Asana, Trello or Notion. No account managers, no ticket queues, and unlimited meetings. Your bench includes a creative director, a senior developer and a senior PM with 15+ years each, plus a senior designer with 12 years behind her.
STEP 4

Easily adjust as your needs change

Adjust your hours month to month, and roll over unused hours, so no hour is wasted. Rollover is capped at one month's retained hours, and you can move between levels whenever the workload changes.
No long-term commitments or gotcha fees — just honest hourly retainers, billed monthly, with 30 days' notice to stop.

Frequently Asked Questions

FAQs

What does "embedded creative team" actually mean?

It means the team works inside your tools and your rhythm instead of behind a vendor wall: your Slack, your Asana, Trello, or Notion boards, your standups if you want us there. You message the designer, the designer answers. Ours covers design, web development, video, and copywriting at $150/hr, about $7,500/mo at the 50-hour entry level.

Is an embedded creative team the same as staff augmentation?

Close, with two differences. Staff augmentation typically rents you one person per skill; our retainer gives you one pool of hours across four disciplines. And augmentation contracts usually run per-seat and per-term, while we bill month-to-month at one rate with 30-day cancellation.

How long do embedded engagements usually run?

Years, at their best. Our published retainers include Saviynt at 4+ years and 10,000+ hours served, NAVIS at 3+ years and 8,000+ hours, and Coalesce at over 3 years and counting. Month-to-month terms mean each of those relationships was re-chosen every 30 days.

What does an embedded creative team cost?

$150/hr with a 50-hour monthly minimum, so about $7,500/mo. Unused hours roll over, capped at 100% of the month's retained hours. The team a retainer replaces, a fully loaded in-house creative group, runs $300–800K a year.

Which tools does the team work in?

Yours. Slack, Asana, Trello, and Notion are the ones our clients use most, and meetings are unlimited. We don't route requests through a ticketing portal or an account-manager layer.

Can we start small before embedding fully?

Yes. Project work runs $200/hr without a retainer, and fixed-price startup packages run from $2.5K (Brand Hero Refresh) to $20K (Scale-Ready Website Design). Plenty of retainer clients started with one project to see how working together feels.
